Cross References

Cross references enables you to identify items that are linked to a particular entity. Its a way of navigating through On Key, using filtering. The cross reference view can also be described as a "reverse" listing on a data item.

Cross referencing filters the data, based on where you are coming from. The system looks for links and shows you the corresponding dashboard, filtered according the information that was entered.

Cross Referencing Methods

There are three ways to use cross references in On Key.

You can define:

  • the screen to cross reference to
  • the field to cross reference from
  • the field to cross reference to.
  1. Cross reference to a target screen

    2. This method involves cross referencing from a record to a dashboard. You could cross reference from a regular asset to the Work Order Dashboard, for instance, to determine which work orders are associated with that specific regular asset.

    When you choose the target screen to cross reference to, there is a lookup of all the dashboards that can be cross referenced to from this entity. These options are based on where else this entity exists in the system. Once the filter is applied, only the corresponding records will be returned on the target screen.

  2. Cross reference from a field to a target screen

    3. With this method, cross referencing is performed from a field on a record to a dashboard. You could cross reference from a resource trade to the Resource Dashboard, for example, to identify which resource that specific trade is associated with.

    The field to cross reference from on the record is selected first, followed by the target screen to cross reference to. The field and target screen lookups are filtered according to what's available for cross referencing. The target screen could be autopopulated, based on the field selection. When this happens, it means only that one dashboard is available to cross reference to. The target screen will then be filtered to display the applicable records.

  3. Cross reference to a field on a target screen

    4. Here, you cross reference from a record to a specific field on a dashboard. So, you could cross reference from a resource to the staff member ID on the work order dashboard, for example, to see all the work orders where this resource is identified as the staff member.

    You first select the target screen and then select a field on that target screen that's available to cross reference to. The corresponding dashboard will open with the filter applied.

The system is designed to guide you through this process. You will only be able to cross reference to or from dashboards and fields that are available. When the Cross References button is not available, the entity you are cross referencing from does not have anything to cross reference to.
